Message Board

Introduction

Icareus Message Board is used to keep event and webinar viewers active and committed to the event - to provide comments, ask questions and communicate with other event participants.

General info and functions

Message board management and moderator tools can be seen under each event created on Icareus video cloud.
You can see the Message Boards admin UI on the image below.
Notice: You need to have a valid license to see the message board UI.



The main features of the Icareus Message Board management are:
Feature
Description
Participant list
Participant list (on the left) shows the active participants and their chosen nicknames.
Message board messages
Moderator/Admin can see all incoming messages. In addition it is possible to see the list of Waiting/Accepted/Rejected messages.
Manual Accept/Reject/Delete messages
 Moderator/Admin can manually accept, reject or delete each message.
Auto Accept
Moderator/Admin can also activate Auto Acceptance of the messages, which means that moderator does not have to accept each message before they become visible on the message board.
Show Polls
When Polls are used in events, Moderator/Admin can make the Polls visible on the end-user interface by having the "Show Polls" toggled on.
Sort Reply
When toggled off, all messages are shown in the order they were posted (in the admin view). When toggled on, reply messages are attached to the messages they replied to, regardless of posting time.
Enable Like
Enables end-users to like messages by clicking the thumbs-up icon below it (in the bottom right corner).
Enable Reply
Enables end-users to reply to chat messages.
Hide
Hide messages from the public UIs
Message Board Host URL Moderator/Admin can send this Message Board Host URL to e.g. the host to open on a different device, to e.g. view audience questions. Only shows Important Messages. Requires no login.
Message Board Admin URL
Moderator/Admin can copy and/or open this Message Board admin UI on a second browser or on a different device and that way give access for e.g. a third party moderator to take care of the message board moderation. This way it's not necessary to give third parties access to Icareus Suite Video Cloud itself. Requires no login.
Important Messages
Clicking the star next to a message in the Admin UI marks it as an important message. Only important messages are shown in the Host View of the message board.
Export CSV
After the event the moderator/admin can also export the whole event discussion on CSV for the marketing/communication/production team/customer to see about the discussions and comments during the event.
Moderator messages
Moderator can also send messages to the message board, e.g. some generic info or instructions. The name shown on the public UX is the same as the one the user has registered to the Icareus Suite video cloud. If the event is a "multi room" event, the Moderator must first select the room where to send the message. 

Setting username

The Public user experience of the Icareus Message Boards can be customized.
When a person accesses the event having an Icareus Message Board and tries to send a message, the system asks user to write their name/nickname:



Sending messages

After entering the nickname/name, the message is sent to the message board:


Before the message is accepted by Moderator, the end-user will see the following notification after the message (Still waiting for approval).
Notice that only a sending end-user sees the message and notification, before it is accepted.
If the message is rejected or deleted, the message disappears from the message board:



When the Moderator writes a message on Admin UI, the Moderator/Admin must select the room where to send the message (1) and then click "SEND" (2)



The message then becomes visible on the Message Board. To the end users, the message is only shown in the selected room.

Admin view

Moderator/Admin can also copy and/or open this Message Board admin UI on a second browser or on a different device and that way give access for e.g. a third party moderator to take care of the message board moderation. This way it's not necessary to give third parties access to Icareus Suite Video Cloud itself.



Hide messages

When the event is over, and admin does not want users anymore to see the event messages on event view or on hybrid event message board, the admin can turn on the "Hide Messages" function in the admin menu.
After that the messages will be hidden from the view and end-user can only see this notification (here e.g. in hybrid event https://messages.icareus.com):

In addition, Icareus Message Board supports Hybrid-event use cases, where some of the users will be on-site. In that case the persons participating the event on-site can open the Icareus Message Boards (and Polls / Word Clouds) separately in their own browser window and with their own user interface, so that the user can participate the discussion without having to watch the video:



The user interface can be opened from the address: https://messages.icareus.com and after entering the Icareus Message Board room number, the user can access the event:



Host view

The moderator/admin can send this Message Board Host URL to e.g. the host to open on a different device, to e.g. view audience questions. It requires no login.
